The Administrative Assistant has a fundamental role in supporting the CEO’s Office to perform in terms of efficiency but also in supporting a sincere and direct relationship with internal teams and external partners.



  • Answer and manage incoming calls
  • Manage and maintain executives schedules appointments and travel arrangements
  • Arrange and coordinate meetings and events
  • Develop and maintain efficient reporting keep accurate and up to date information prepare documentation and support the overall operations of the CEO’s office to ensure efficiency
  • Ensure accurate efficient and smooth administrative support
  • Monitor respond to and distribute incoming communications
  • Compile Executive’s travel expenses
  • File and retrieve documents and reference materials
  • Receive and interact with incoming visitors
  • Liaise with internal staff at all levels



  • Bachelor’s degree
  • Up to 2 years of experience in a similar role ideally within a multinational company
  • Thorough understanding of the MS Office suite with advanced skills in PowerPoint and Excel
  • Accountability/Credibility able to always perform highly accountable work style with a strong sense of confidentiality linked to the function
  • Excellent written and interpersonal communication skills
  • Able to multi-task work at a fast pace with total accuracy and efficiency in support of the CEO’s Office
  • Flexible adaptable and reliable
  • Extremely well organized and structured
  • Able to anticipate needs and provide the highest quality of service
  • Attention to detail and accuracy
  • Fluent in English French is considered a plus
